Templates

Reuse the documents you send most

A template is a document with its fields already placed. Instead of uploading and preparing the same contract every time, you pick the template, add signers and send.

Why use templates

  • Send standard documents (NDAs, onboarding forms, service agreements) in seconds.
  • Keep field placement consistent every time.
  • Pre-fill values per recipient with Fill & Send.
  • Power signing links that anyone can use.

Creating a template

  1. Go to Templates and click New Template.
  2. Enter a Template Name, choose a Type (Contract, Agreement, Form, Document or Other) and an optional description. In a team workspace, choose whether to share it with the team.
  3. Upload and arrange your pages, import any existing form fields, and place fields, exactly as when preparing a document. You don't pick signers here; fields are assigned when the template is used.
  4. Check the preview and click Continue to Save.
  5. Leave Publish Template on and click Save & Publish to make it usable right away, or Save as Draft to finish later.

Note

Only active (published) templates can be used to send documents or create signing links.

Managing templates

The Templates page shows counts of total, active and draft templates. Search by name and filter by status, type and (in a team) Shared / My Templates. The row menu offers:

ActionWhat it does
Use This TemplateStarts a new document from the template.
Fill & SendQuickly sends it to one person with pre-filled values.
EditChanges details, pages or fields. Save as Update & Publish or Update as Draft.
DownloadDownloads the template PDF.
Share with Team / Move to Personal / Move to Team...Changes who can use it. Its signing links move with it.
DeleteRemoves the template.

Sending from a template

  1. Click Use This Template (or, on Send Document, choose Use Template as the source and select one).
  2. Add your signers and other recipients as usual.
  3. In the Assign Fields step, give each field to the right signer. You can still add, move or remove fields.
  4. Preview and click Submit Document.

This works with multiple primary signers, secondary recipients, private messages and attachments, everything described in Creating Documents.

Fill & Send

The quickest way to send a template to one person, with some fields already filled in.

  1. On an active template with fields, choose Fill & Send.
  2. Set the Document Name, the recipient's email (and optionally name), and an optional personal message.
  3. Under Pre-fill Fields, enter values for any fields you want filled. Choose Lockedso the recipient can't change them, or Editable to provide defaults they can edit.
  4. Click Send Document.

Tip

Leave contact-detail fields (name, email, address…) empty to let the recipient fill them from their own Signiphi signing profile.
