Sending & Tracking

Follow documents from sent to signed

Once a document is sent, the Documents page is where you follow its progress, nudge signers, make corrections, answer questions and download the signed result.

The Documents page

  • Summary cards show Total Documents, Sent, In Review and Completed.
  • Search documents... finds documents by title.
  • Filter by status, and in a team workspace by All Documents, Shared or My Documents.
  • Choose 10, 20, 50 or 100 rows per page. Clear resets the filters.
  • Export to CSV downloads every document that matches your current filters.
  • Refresh reloads the latest statuses.

Document statuses

StatusMeaning
DraftCreated but not yet prepared.
PreparedFields are placed; not sent yet.
SentEmailed to the signer(s); nobody has opened it yet.
ViewedA recipient has opened it.
SignedA signer has signed; others may still need to.
CompletedEveryone has signed. The final copy has been emailed to all parties.
In ReviewA signer sent annotations back to you. See below.
Being correctedYou pulled the document back to make changes.
DeclinedAn approver declined. The row shows who and their reason.

Seeing who has signed

Each row shows more than the status:

  • Open the signer list to see everyone in the Signing order and their individual status: Signed, Approved, Viewed, Sent, Declined, Pending or Waiting.
  • Counts show how many signers, approvers, viewers and CC recipients are on the document.
  • Last activity shows what happened most recently and who did it, e.g. “Signed · 2d”. “unopened 9d” turns amber after a week without being opened.
  • Icons show documents that are shared with your team, came from a signing link, or require attachments.

Sending reminders

Signiphi doesn't send reminders automatically. You decide when to nudge someone.

  1. On a Sent or Viewed document, hover the bell icon and click Send reminder.
  2. Optionally Add a note. If you leave it blank, your original message is reused.
  3. Click Send reminder. The dialog shows who will be reminded.
Bell colourMeaning
GreyNo reminder sent yet.
BlueReminded within the last week.
AmberReminded over a week ago and still not signed. Worth another nudge.

Note

You can remind the same document once per hour.

Correcting a sent document

Spotted a mistake right after sending? As long as no recipient has opened, signed or declined it yet, you can fix it without sending new links.

  1. From the row menu choose Correct Document, then Edit document. The status changes to Being corrected.
  2. Make your changes in the usual setup and prepare steps, then submit.
  3. In the release dialog choose Release document to make it available quietly, or Release with reminder to email the recipient again. A reminder is recommended if someone tried to open the link while you were editing.

While you're correcting, recipients who open their link see “Almost ready”, and the same link opens the updated version once released. If you stop part-way, use Continue Editing or Release Document... from the row menu.

Important

If you change who is on the document, affected recipients receive a new link by email and their old link stops working.

Responding to signer annotations

Signers can mark up the document and send it back with questions instead of signing. The document moves to In Reviewand you're notified.

  1. From the row menu choose Review Annotations.
  2. Read each annotation and its comments. Reply with Add a comment..., mark threads Resolved, and add your own highlights, text or drawings if useful.
  3. Use Search annotations... and the filters to find things in busy documents.
  4. Click Send back to receiver. The signer gets an email and can continue signing.

Tip

If the document itself needs to change, you can also edit and re-send it. The signer's original link opens the updated version.

When a document is completed

  • Every signer and CC recipient receives an email with a link to download the signed document (the link is valid for 7 days).
  • Download it any time from the row menu with Download, or open the document to view it.
  • If signers uploaded files, open them with View Attachments (or the paperclip on the document page).

Other document actions

The ⋯ menu on each row offers the actions that apply to that document:

ActionWhat it does
Copy Signing LinkCopies the current signer’s link, handy if they lost the email.
DownloadOpens the document PDF in a new tab.
Make a CopyDuplicates the document with its fields so you can send it again.
View AttachmentsShows files signers uploaded.
Share with Team / Move to PersonalChanges who can see it. See Teams.
Move to Team...Moves the document into one of your teams.
DeletePermanently deletes the document. Recipients can no longer open it.

Need to cancel a sent document?

There's no separate “void” action. If nobody has opened it yet, use Correct Document; otherwise Delete stops the link from working.
